 Essential Duties 

Supports the mission and values of SpiriTrust Lutheran which is: SpiriTrust Lutheran, witnessing to the Gospel of Jesus Christ, provides exceptional health, human, and senior living services by supporting persons in achieving an optimal quality of life.
Interacts with residents, clients, staff, and the general public in ways that demonstrate the agency’s commitment to courtesy, service, and hospitality befitting a church-related organization.
Manages the community’s transportation program to meet the needs of the residents as follows:
Schedules transportation for activities, resident appointments, etc., coordinating with Nursing Department, Activities Department, and other departments; assigns drivers.
Ensures drivers meet all CDL requirements based on Department of Transportation guidelines.
Ensures vehicles are properly maintained and insured.
Assists in the preparation of the annual operating budget; takes necessary steps and follows existing accounting procedures to ensure compliance with the approved budgets during the fiscal year; monitors annual budget to stay within approved fiscal limits and to assure financial stability and long-term success.
Prepares annual operating budget for cost center; takes necessary steps and follows existing accounting procedures to ensure compliance with the approved budgets during the fiscal year.
Participates in the development and preparation of the annual budget for approval by the Executive Director; monitors annual budget to stay within approved fiscal limits.
Monitors the use of resources and plans for program(s) in such a way as to assure financial stability and long term success.
Assures program is financially stable, within his/her immediate control, and is able to support LSS goals for growth and development.
Evaluates financial data and makes appropriate corrective actions as necessary.        
Develops, implements, and achieves annual goals and objectives as established in the annual strategic and operating plans, as follows:
Allocates resources, e.g., human, financial, etc., toward tasks required to achieve goals and objectives.
Directs, through appropriate management of staff, day-to-day activities in support of the objectives.
Directly supervises assigned staff as follows:
a.   Recruits, selects, orients, and makes provisions for the proper training of staff; regularly reviews the competence and performance of this group.
b.   Makes certain that all relevant information is properly communicated to the group in order to give them every opportunity to perform their duties properly.
c.   Organizes, schedules, and distributes work among assigned personnel based on budgeted hours.
d.   Conducts regular meetings with the staff.
e.   Works closely with the group in implementing an effective human resource management program to ensure a competent, motivated group of team members.
f.    Administers established Human Resources Standards of Practice and procedures as established by LSS standards.

Performs a variety of duties to support the CCRC as follows:
Maintains filing system for Administrative office including, but not limited to, contracts, licenses, admission agreements, etc.  Develops and maintains tickler system to ensure that documents are updated appropriately.
Orders office supplies and office equipment for various departments conforming to budgetary guidelines.
Oversees the distribution and mailing of all correspondence for the Program; opens and processes mail for Executive Director.
Directs proper utilization of the facility’s telephone system, postage equipment, and copiers; ensures performance and efficiency of equipment; trains all new staff on operation of equipment.
Accepts telephone calls in the absence of the Executive Director or other administrative staff as directed; provides information to callers and takes and relays messages.
Attends meetings (Village Team, Safety, Quality Assurance, and others) to take minutes; transcribes minutes; prepares follow-up distribution, filing, archiving of minutes, documents, etc.
Ensures administrative staff has clerical support as needed.
Based on the needs of the community, ensures spiritual support program functions appropriately as follows:
Coordinates church services
Develops and publishes church bulletin.

As assigned within the community, maintains survey books as required by the Department of Health and/or Department of Public Welfare and maintains documentation related to plan of correction.            
Based on the needs of the community, prepares account receivable deposits.
May function as Human Resource Assistant, as assigned, based on the needs of the community.  Refer to Human Resource Assistant job description.
Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate personnel.
Interacts with all colleagues in ways that assist one another in the successful performance of their duties.
Provides support, encouragement, and direction to the individuals under his/her direct supervision; acts as a resource for staff in problem-solving and properly communicates within the established chain of command.
Creates an atmosphere that promotes a positive and respectful work environment.
Oversees team members in their timekeeping process, ensuring accurate submission of data:
Follows up with team members under their supervision to ensure the timekeeping process is completed and submitted accurately with no errors.
Educates team members regarding requirements for timekeeping, missed punches, consequences, etc.
Enters the department’s timekeeping data accurately and submits data within practice guidelines.
Evaluates data related to resources and programs and makes appropriate corrective actions with team members, if necessary, to ensure compliance with all rules, regulations, and agency standards.
Coordinates specific work tasks with other personnel within the program as well as with other programs in order to ensure the smooth and efficient flow of information.
Abides by the current laws and organizational standards and procedures designed and implemented to promote an environment that is free of sexual harassment and other forms of illegal discriminatory behavior in the workplace.
Cooperates with, participates in, and supports the adherence to all Agency standards, procedures, and practices in support of risk management and overall safety and soundness and compliance with all regulatory requirements, i.e., HIPAA, OSHA, etc.; ensures that the department and all personnel adhere to the same.
Abides by and supports the organization’s code of conduct by exhibiting behavior that is set forth in the code of conduct.  Performs duties in accordance with the code of conduct and completes annual compliance training.
Reports pertinent information to the immediate supervisor as requested, or according to an established schedule; compiles information as necessary or as directed and provides data to appropriate personnel.
Responds to inquiries relating to his/her particular program, or to requests from customers, other personnel, etc. within given timeframes and within established standards.
